Description

Everything you need to know about Microsoft Planner
01

Before you download Microsoft Planner, check the email address you sign in with at work or school. This productivity app turns Microsoft 365 plans into task boards on Android and iPhone, yet it refuses personal accounts outright. The real question is whether your organization already gives you Planner, and whether a phone companion is enough.

Microsoft Planner only works if your workplace pays for it

Microsoft built Planner for teams inside Microsoft 365. If your company or school runs on it, Planner is usually already included, with plans in Teams channels and the new Outlook, next to the conversations tasks came from.

The limit is just as plain. An outlook.com or hotmail.com address gets turned away at sign-in, and no consumer version waits behind it. Solo users wanting a personal task list are better served by Microsoft To Do.

What does the Planner mobile app handle well?

As a companion, it does its job. Each plan opens as a board split into buckets, and tasks drag between columns. You can assign people, set due dates, add labels and checklists, and attach a photo straight from the camera. The My Tasks view gathers everything assigned to you across every plan, and that view alone is why most people install it.

New features are the weak spot. Microsoft builds for the web and Teams first. After task chat replaced comments in basic plans, messages posted from a PC stopped appearing on phones, because the iPhone and Android apps still show the old comments view. Treat the app as the place to check and update work, not to run a project.

Planner on Windows and Mac runs in Teams and the browser

There is no native Planner app for Windows or macOS. On a computer, it opens in a browser, in Microsoft Teams, or in the new Outlook. The newer Planner merged the old Planner, Microsoft To Do, and Project for the web, so the desktop side is the most complete version. Copilot and its Project Manager agent sit on top as a paid Microsoft 365 Copilot layer; without that license, the AI side never appears.

Basic plans and the paid premium tier

Basic plans cover boards, buckets, checklists, labels, and task chat. Premium plans need a separate paid license for whoever creates them, and add:

  • A timeline view
  • Dependencies between tasks
  • Goals and sprints
  • Portfolios that roll up several plans

For most small teams, basic plans are enough.

Microsoft Planner against Trello and Asana

Trello feels closer, and anyone can join a board with a free personal account, which Planner cannot offer. Asana goes further on structure, with timelines and workload views that Planner reaches only through premium plans. Pick Planner if your organization is all in on Microsoft 365, Trello for quick boards with outside collaborators, and Asana when project management is the core of the job.

The phone app suits Microsoft 365 teams on the move

Download this productivity app if your workplace or school already uses Microsoft 365 and you want team tasks on your phone. Anyone with only a personal account should skip it, because the app will not let you in.

Microsoft Planner is free to download, and basic plans come with most Microsoft 365 work and school subscriptions. Premium plans, with timelines, dependencies, and sprints, need a separate paid license for whoever creates them. Colleagues on standard licenses can still open those plans and update their own tasks. In practice, free means included in what your organization already pays for.

Microsoft Planner: Trust & Privacy Summary

Microsoft Planner is proprietary, subscription-based software that requires an account and is actively maintained. Its app privacy label lists usage and telemetry plus device identifiers, a minimal collection level. Plan data is encrypted at rest and in transit. Whether data is shared with third parties is not clearly stated, and a no-logs policy does not apply to this kind of app.
