Description

Everything you need to know about WhatsApp Business
01

If customers already message your personal number to ask about prices and opening hours, WhatsApp Business is the obvious next step. This free communication app from Meta runs on Android and iPhone and adds a shop profile, a product catalog, and automatic replies on top of the WhatsApp your customers already use. Nobody on the other end has to install anything new. What decides the WhatsApp Business download is less about features and more about the ceiling you hit once more than one person needs to answer the phone.

Should your shop switch to WhatsApp Business?

For a business run by one person who answers customer chats personally, yes, and the sooner the better. WhatsApp Business is the regular WhatsApp engine with a storefront bolted on: customers see your business name, category, address, hours, and website at the top of the chat instead of a bare phone number. The app is free, the switch keeps your number and your chat history, and the profile alone saves a lot of repeated “are you open today?” messages. The limitation sits on the other side of that coin. The app is built around one owner and one phone, so a team of three sharing one number has no way to assign a chat or see who promised what. The latest releases keep adding small tools, but they have not changed that basic shape.

Catalog, labels, and auto-replies in the free business app

The catalog is where WhatsApp Business earns its place. Products or services go in with photos, descriptions, and prices, and customers can browse them inside the chat, add several items to a cart, and send the order back as one message. Catalog links can also be shared on Facebook, Instagram, or anywhere else a link fits.

Day-to-day messaging leans on three tools. Quick replies store the answers you type twenty times a week, and typing a forward slash in any chat pulls up the saved list, which is faster than it sounds once the delivery and payment answers are stored. Greeting messages go out automatically the first time someone writes, or after a long silence, and away messages cover nights and weekends. Labels color-code chats as new customer, pending payment, order complete, or whatever system you invent, and the chat list can be filtered by label.

Business broadcasts send the same message to many contacts at once as private one-to-one chats, not a group. Meta Verified, an optional paid subscription, adds a verified badge, impersonation protection, and more linked devices, but it is not offered in every country and nothing in the free app depends on it. Calls and messages stay end-to-end encrypted just as they are in regular WhatsApp.

Moving your customer number over in four steps

The switch takes a few minutes, and getting the order right keeps your chats intact.

  1. Back up your chats in regular WhatsApp first, under Settings, Chats, Chat backup.
  2. Install WhatsApp Business and enter the number your customers already use.
  3. Accept the prompt to use that number and transfer the existing chat history.
  4. Fill in the business profile, then set a greeting message and away hours before the first customer writes.

Once the number moves, regular WhatsApp on that phone stops working with it, so a personal account needs a second number.

Where the free WhatsApp Business app runs out of room

The ceilings are real, and they are easier to accept before the switch than after it. The one that catches people out is broadcasts: a broadcast only reaches contacts who have saved your number in their own phone. Everyone else is skipped silently. There is no error, no delivery report, and no list of who missed out, so a promo meant for every customer can quietly reach only part of the list.

The other limits are easier to spot. Chats have no send-later button, so appointment reminders and timed offers go out by hand. The primary phone can link a handful of other screens, but all of them act as the same person, and if the main phone stays offline for about two weeks, the linked devices sign out. Broadcasts are also being capped: in a growing number of countries the app allows a monthly allowance of free broadcast messages and sells credits for anything past it. When those gaps start costing sales, the next step is the WhatsApp Business Platform, the paid API that works through outside providers. It is a different product with no app to download.

WhatsApp Business versus regular WhatsApp, Telegram, and Messenger

Regular WhatsApp is the real rival, because most small sellers start in that communication app. It does everything WhatsApp Business does for chatting, but without a profile, catalog, labels, or auto-replies, and with the same one-number rule. Keeping business chats in a personal app makes sense only if the business is a side project with a handful of buyers.

Telegram offers greeting messages, away messages, quick replies, opening hours, and chatbot connections through its business tools, but those sit behind a paid Telegram Premium subscription, and your customers need Telegram installed. In regions where everyone already uses WhatsApp, that second point decides it.

Facebook Messenger connects to a Facebook Page and is managed through Meta’s business inbox, which lets several staff members reply under page roles. That makes it better for a team than WhatsApp Business, but customers have to find your page first, and many prefer to message a phone number they already have.

If your customers live on WhatsApp, WhatsApp Business is the free tool to install, and Messenger only wins when a team needs a shared inbox today.

A free upgrade for one-person shops, not yet for sales teams

WhatsApp Business is worth the download for any owner, freelancer, or small shop whose customers already message on WhatsApp and where one person handles replies. The profile, catalog, and auto-replies pay off on day one, and the switch costs nothing. Teams that need a shared inbox or scheduled sends will outgrow it and should plan for the API. For everyone else, download WhatsApp Business and move your customer number over this week.

No, not at the same time. A phone number can be active on only one of the two apps, so moving it to WhatsApp Business takes it off regular WhatsApp.

Check that the number is entered with the correct country code, then wait for the timer and choose the voice call option instead of SMS. Landline numbers can only verify by voice call, and repeated requests lengthen the wait.
